1) Scope and accountability

True North Chimney Care (“we”, “us”, “our”) serves customers across Canada. This policy explains how we handle personal information under the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws.

We are accountable for personal information under our control. A designated privacy contact monitors compliance and can address your questions or complaints.

2) What we collect
  • Contact details: name, address, email, and phone number for bookings and service updates.
  • Service information: property type, appointment notes, photos you share, and service history.
  • Billing details: payment confirmations and invoices (we do not store full credit card numbers).
  • Website interactions: device/browser data, pages viewed, and your cookie preferences.

We collect information directly from you, through our website, and from limited third-party tools (for analytics or payments) as described below.

3) Purposes for collection and use
  • Provide and schedule chimney inspection, cleaning, and repair services.
  • Communicate confirmations, reminders, and service reports.
  • Process payments and prevent fraud.
  • Improve our website, services, and customer support.
  • Send promotions or satisfaction surveys (only with your consent or as permitted by law).

We limit collection to what is necessary for these purposes and use/de-identified data where appropriate.

5) Cookies and tracking technologies

We use necessary cookies to operate the site (e.g., load balancing, security, and remembering your consent). With your permission, we may also use:

  • Analytics cookies to understand site usage and improve performance.
  • Marketing cookies to measure promotions and show relevant offers.

You can manage these choices any time using Privacy Controls, or by clearing cookies in your browser. Disabling optional cookies may reduce certain features.

6) Disclosure to service providers and third parties

We may share information with limited service providers who help us operate our business, under contracts that protect confidentiality and limit use to our instructions:

  • Payment processors to complete transactions and prevent fraud.
  • Scheduling and communication tools to send confirmations and reminders.
  • Analytics providers, only if you have consented to analytics cookies.
  • Professional advisors (e.g., accountants) and legal disclosures where required by law.

We do not sell your personal information. We disclose only what is necessary for the stated purposes.

7) Cross‑border transfers

Your information may be processed in provinces or countries outside your province of residence, including the United States. When we transfer data, we use appropriate safeguards (e.g., contractual clauses) and require our providers to protect it to standards comparable to Canadian law. However, it may be subject to the laws and lawful access of those jurisdictions.

8) Retention
  • Service records: generally 7 years to meet tax and warranty requirements.
  • Marketing preferences: until you opt out or 24 months after your last interaction.
  • Analytics data: typically 14–26 months, if enabled.

We securely delete or anonymize data when it is no longer needed for legal or business purposes.

9) Safeguards
  • Administrative: access controls, staff training, and privacy-by-design practices.
  • Technical: encryption in transit, strong authentication, monitoring, and backups.
  • Physical: restricted access to facilities and secure storage.

No method of transmission or storage is 100% secure. We continuously improve safeguards to reduce risk.

10) Access, correction, and portability

You have the right to request access to your personal information, to correct inaccuracies, and to obtain a copy in a commonly used format. We may need to verify your identity and may charge a reasonable fee where permitted by law. We will respond within a reasonable time and provide reasons if a request is refused, along with options to challenge the decision.

11) Children’s privacy

Our services are intended for adults. We do not knowingly collect personal information from children under the age of 13. If you believe a child provided us information, please contact us so we can delete it where appropriate.

12) Changes to this policy

We may update this policy to reflect changes in our practices or the law. We will post the new version here with an updated “Last updated” date. Significant changes will be highlighted for a reasonable period.
